Role:

In this role, the Rep will answer inquiries and/or take voluntary offer instructions from clients via phone or email; enter client voluntary offer instructions into Corporate Actions system; participate in Lean activities, i.e. attend huddles, participate in problem solving session, etc.

The complexity of this role is specialized to Corporate Actions events. Examples of events: Mandatory and Voluntary Tender offers; Dividend and Interest payments; Splits and Reverse Splits.

This role has unlimited risk potential. An error may need to be corrected by going into the market to purchase or sell shares which could present a significant financial loss.

There are not any functions that this role is responsible for that are unique to TD Ameritrade when compared to similar roles in the market.

This role is critical to other TDA teams/departments since they are responsible for entering client instructions. It is critical that client instructions are accurately captured so that the other teams of Corporate Actions (Dividends and Reorg) can properly process voluntary offers.

This role is critical to the client as the Rep has direct impact when entering the client’s instructions. The instructions must be entered accurately by the Rep so that the client receives the expected results of the voluntary offer.

This role is critical to the shareholder as performing this function accurately minimizes risk to the firm. Controls are in place to validate a client’s election.
Phone and email inquiries are unpredictable at best. However, as securities go through reorganizations, and the complexity of that reorganization increases, phone and email volumes tend to trend upwards until the offer expires.

Unexpected things that could occur in this role include:  complex voluntary offers; periods of slow call volume; periods of high call volume.

This role interacts with other TD Ameritrade departments and Associates. Phone Associates communicate with Back Office Corporate Actions Associates when they have inquiries related to items processed or not processed; Client Services Associates and Institutional Services often call with inquiries on behalf of clients; Cost Basis is contacted when there are tax implications to a Corporate Actions event; Restricted Stock/Safekeeping would be contacted if a client had sent in physical securities that were going through a Corporate Actions event, and we needed a status on the posting of the asset; Security Lending would be contacted to see if a client could borrow a security that is subject to a Corporate Action event; Trading would be contacted for inquiries on whether a security, undergoing a Corporate Actions event, could still be traded.

The majority of this role requires interaction with internal and external clients. Clients drive the phone and email volume with their inquiries or offer submissions.

Responsibilities:

  • Entering client voluntary instructions into ReorgDB which is an internal system used to house notifications of events; be a portal for entering client’s elections for events; a place to perform validations of client’s submissions
  • Entering notes into Consolidated Desktop in context of client conversation(s)
  • Understanding voluntary offer details
  • Determining why a client’s dividend has not been credited to their account
  • Investigate pain points, recommend changes, and participate in solution implementation for the team/department
  • Challenge the norm, look for opportunities to do better
  • Understanding and responding to clients verbal inquiries (phone)
  • Understanding and responding to clients verbal inquiries (email)
  • Lead huddles on rotational basis or in absence of management
  • Participate in Root Cause Analysis sessions to dive deep into a problem, recommend solutions, and implement new practices

Requirements:

  • High School Diploma
  • 2 years Business/Finance preferred
  • Proficient in Microsoft Office Products.
