Role:

Assist manager in the daily direction of Corporate Office Services associates in the mail/copy center for the local site.  SME on Mailing & Shipping requirements, managing day to day operations and guiding process improvements for the site. Coordinates daily work assignments for staff.  Motivates, trains and leads staff to ensure delivery timelines and customer service initiatives are met on a daily basis. Provides feedback to manager on daily department production progress and staff performance.  Provide input to manager on associate’s quarterly PFP’s and yearly evaluations.  Lead team to receive, sort and accurately distribute all interoffice, incoming mail, and overnight shipments.  Ensures all outgoing mail, parcels, overnights, freight shipments and print ques are prepared and shipped as required.  Process checks to included documentation and scanning, as required in Denver and Chicago.  Ensure basic office supplies are ordered in a timely manner and made available to all associates.   

Responsibilities:

  • Assist manager in supervising the incoming workflow and assigning staff on daily work assignments to meet delivery timelines and customer service initiatives.
  • Along with manager, help to support LEAN initiatives (huddles, problem solving sessions) for the location.
  • Provide input to manager on establishing performance goals for the team, quarterly PFP’s, annual reviews and IDP’s.
  • Consistently research ideas for process improvement to existing procedures. 
  • Prepare schedules for the associates on the movement of mail within or between locations either by walling, driving the company vehicle or working with a local courier service.
  • Local knowledge expert to prepare and process all outgoing mail, overnights, and freight shipments using mail center equipment and /or vendors.
  • Assist manager in supervising the outgoing workflow and assigning staff on daily work assignments to meet outgoing  timelines and customer service initiatives.
  • Ensure accuracy of team’s processing and distribution of incoming mail, overnights and interoffice to locations and associates.  Educate and enforce associates on safety and security procedures for all incoming mail and overnight items.
  • Monitor check processing procedures in preparation, documentation, operation of scanning equipment, and data entry of confidential information. ( Denver & San Diego)
  • Document all incoming certified, registered, and overnight items in the letter/package tracking logs.  
  • Direct associates on the safe operation of company vehicle for daily courier runs as necessary for the location. 
  • Lead team to ensure all outgoing is processed in a timely manner to meet daily pickup schedules of Presort, US Postal Service, and overnight carriers and that documentation is completed on all outgoing overnight items in the letter/package tracking logs.   
  • Ensure local team consolidates and packages daily distribution packs for shipment to other TDA locations daily.
  • Provide associate services (Personal mail, print jobs, box pulls, offsite storage) as necessary
  • Provide assistance to Records team regarding onsite and offsite storage.
  • Contact carriers and prepare necessary paperwork for local and long haul carriers.
  • Train associates on operating and maintenance of mail processing/copy center equipment. 
  • Provide associate services (Personal mail, print jobs, box pulls, offsite storage) as necessary
  • Order & maintain an inventory of basic office supplies available for associate use. Assist with special supply orders, ensuring the correct cost centers are allocated.
  • Ensure safe operation of company vehicle by associates for daily courier runs as necessary for the location. 

Requirements:

  • High School Diploma or Equivalent Experience
  • Knowledgeable in the safe operation of mail center equipment and general office equipment (computer, copier, fax)
  • Proficient typing skills and 10-key .Provide or suggest training to associates as necessary. 
  • Ability to lift 20-30 lbs. on a regular basis and on occasion, up to 50lbs. Educate associates on proper lifting techniques. 
  • Driver’s license and excellent driving record may be required. 
  • Military education or experience may be considered in lieu of civilian requirements listed
